Fortuna Ambassadors Privacy Policy

This Privacy Policy explains how we collect and use personal data when you join and participate in the Fortuna Ambassadors Club.

We are committed to respecting your privacy and handling your personal data in accordance with the UK GDPR, the EU General Data Protection Regulation (GDPR), and applicable data-protection law.

1. Who is responsible for your data?

2. What information do we collect?

When you join the Fortuna Ambassadors Club, we may collect:

  • your email address;
  • the nickname you choose to use as an Ambassador;
  • your Instagram handle;
  • your Bluesky handle;
  • your Facebook profile or page;
  • your TikTok handle;
  • your LinkedIn profile;
  • the date on which you joined the Ambassador programme;
  • your Ambassador status and points;
  • information about activities you undertake as an Ambassador;
  • information about referrals made through your unique Ambassador links;
  • information about visits, sign-ups and other actions resulting from those links;
  • records of your participation in Ambassador missions, competitions and other activities.

We may also keep records of communications we send to you in connection with the Ambassador programme and your responses to those communications.

You are not required to provide optional social-media information in order to become an Ambassador.

3. Why do we use your information?

We use your personal data to administer and operate the Fortuna Ambassadors Club. This includes:

  • registering you as an Ambassador;
  • communicating with you about the Ambassador programme;
  • sending you information about missions, activities, rewards and programme updates;
  • providing you with your personalised Ambassador links and promotional materials;
  • identifying referrals made through your Ambassador links;
  • awarding and recording Ambassador points and statuses;
  • administering competitions and rewards;
  • recognising your participation in the Ambassador programme;
  • maintaining records of participation in the programme;
  • improving and managing the Ambassador programme.

Where you have separately agreed to it, we may also use your name, nickname, likeness or other identifying information for public recognition of your participation, including on the Fortuna website, in Fortuna publications, or in the game itself.

4. Our legal basis for processing

We process the personal data you provide when joining the Fortuna Ambassadors Club on the basis of your consent to participate in the programme and for the purposes described in this Privacy Policy.

You provide this consent by completing the Ambassador sign-up form and confirming your registration through our double opt-in process.

You may withdraw your consent at any time and ask us to stop processing your personal data for the Ambassador programme. This will not affect the lawfulness of processing carried out before you withdrew your consent.

Where we process information for purposes that have a different legal basis, we will identify that basis where appropriate.

5. Your Ambassador links and referral tracking

Each Ambassador may receive personalised links to Fortuna websites, the Kickstarter pre-launch page and other Fortuna resources.

These links contain information that allows us to identify which Ambassador generated a particular visit or action. We use this information to attribute referrals and award Ambassador points.

We use referral information for the administration and measurement of the Ambassador programme and associated campaign activities.

6. Who has access to your information?

Your personal data may be accessed by the people responsible for operating Fortuna and the Ambassador programme on behalf of SME Business Solutions.

We may also use trusted service providers to process personal data on our behalf. These may include:

  • Brevo, which we use to manage contacts, forms and email communications;
  • website and hosting providers;
  • analytics, campaign and referral-tracking services;
  • other service providers necessary to operate the Fortuna campaign and Ambassador programme.

These providers process personal data in accordance with their contractual obligations and applicable data-protection law.

We will not sell your personal data.

7. Public recognition

Some Ambassador rewards involve public recognition.

For example, we may publish the nickname of Ambassadors who achieve particular statuses, announce competition winners, or recognise Founding Ambassadors.

If we wish to use an Ambassador's real name publicly — for example, by printing it in the rulebook or publishing it on the Fortuna website — we will ask the Ambassador for their permission first. We will not use an Ambassador's real name for these purposes without their prior agreement.

Similarly, if a reward involves using an Ambassador's likeness, we will seek their permission before doing so.

You can participate fully in the Ambassador programme without agreeing to optional forms of public recognition.

8. How long do we keep your information?

We will keep your personal data for as long as reasonably necessary to administer the Fortuna Ambassadors Club and the related Fortuna campaign.

When you leave the Ambassador programme, we will review the information we hold about you and delete or anonymise personal data that we no longer have a legitimate reason to retain, unless we are required or permitted by law to keep it for longer.

Some information relating to consent, transactions, disputes, legal obligations or accountability may need to be retained for an appropriate period after your participation ends.

9. Your rights

Under applicable data-protection law, you may have the right to:

  • ask for access to the personal data we hold about you;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete your personal data;
  • ask us to restrict how we use your personal data;
  • object to certain forms of processing;
  • ask for your personal data to be provided in a portable format where applicable;
  • withdraw your consent at any time where processing is based on consent.

We may update this Privacy Policy from time to time to reflect changes to the Ambassador programme, the services we use, or applicable legal requirements.
